What is the Email Warming Strategy?

Our email warming strategy is a gradual approach to increase the number of emails sent each day for each campaign. This helps establish a positive reputation with email service providers, leading to improved deliverability and open rates.


How Does It Work?


  • Initial Send Rate: We start by sending a limited number of emails per day to each recipient domain (e.g., Gmail, Yahoo, Outlook). For example, on Day 1, we start with 100 emails per day per recipient domain.


  • Send Cadence: Your campaigns will be sent gradually throughout the day.


  • Send Increase: Each day that your campaign maintains an engagement rate of at least 30% for a specific recipient domain segment, we gradually increase the number of emails sent by 50-100 additional daily emails to that specific segment. This daily increase continues until the daily send rate reaches your total list size.


  • Send Decrease: Each day that your campaign fails to meet an engagement rate of at least 30% for a specific recipient domain segment, we will decrease the number of emails sent that specific segment. This ensures your campaigns are getting the best deliverability possible.


    Sorting by Engagement Levels: To further improve deliverability, we now prioritize sending emails to contacts who are most likely to open them. Here’s how it works:


    • Top Contacts First: Contacts with the highest engagement rates (those who open and interact with your emails frequently) receive your campaign first. This initial positive interaction helps boost the sender reputation, improving the chances of future emails reaching inboxes.


    • Gradual Inclusion of Less-Engaged Contacts: Once we’ve engaged your most active contacts, we send emails to less active recipients. This means that even your less-engaged contacts benefit from the positive feedback generated by the initial opens.

Why this matters: By starting with your top contacts, we give email providers a reason to see your emails as desirable, helping to reduce the risk of your emails being marked as spam for any of your contacts.


  • Shared Sender Domain Scaling: If you’re using one of our shared sender domains, we apply this engagement-based scaling to our entire system. We limit the total campaigns sent from shared domains and only increase the sending volume for the entire domain after reaching certain engagement thresholds. This means campaigns may occasionally be sent in a different order across accounts to ensure optimal performance for all senders.


  • Reaching Full Capacity: This gradual approach continues until we reach the full number of contacts in your list, creating a reliable and positive sender reputation.

Utilizing a Custom Domain Sending for Enhanced Branding and Consistent Send Patterns


If you’d prefer a more regular sending schedule and want to strengthen your brand’s presence in emails, consider using your own domain as the sender. Your campaign sender information will look like email@yourdomain.com instead of one of our shared domains which looks something lik - email@businessname.trvlpost.com.


By authenticating your domain, we can ensure that your campaigns reflect your brand more prominently and your campaigns will no longer be on the shared send queue for our shared domain. This will create a smoother sending experience, as well as the capability to send all your campaigns at a specific time instead of throughout the day.


How it Works:


  • Domain Authentication: To authenticate your domain, we add specific records to your domain’s DNS settings. This authentication verifies your domain as the sender, which helps improve deliverability and reinforces trust with email providers.

  • Recommended Subdomain: For optimal performance and to keep your primary domain dedicated to website traffic, we suggest using a subdomain, such as mail.yourdomain.com. This approach enhances deliverability by separating your marketing emails from other communications on your main domain.

Setting Up a Dedicated Marketing Email Address:


  • We recommend creating a dedicated email address, such as info@yourdomain.com or newsletter@yourdomain.com, to use as both the sender and reply-to address for your campaigns. This setup ensures a seamless, branded experience and supports better deliverability.


  • Consistent Reply-To Address: Using the same address for sending and replies boosts deliverability and ensures that any responses from recipients are directed to a functioning inbox. A dedicated marketing inbox also makes it easier to manage replies, allowing your team to stay responsive to client interactions. We highly suggest setting up a dedicated marketing email address for your send-from and reply-to email address.
